Performing Arts Center Eastside (PACE) is a 501(c)(3) nonprofit cultural organization formed to fund, design, and build a regional performing arts center in Bellevue, Washington, and subsequently to manage the facility and its programs and services. PACE is governed by a Board of Directors that consists of accomplished, respected, and dedicated members of the community, and is managed and led by an Executive Director and CEO and a professional staff. PACE is a relatively new institution and, by its nature, it will pass though several distinct phases before it achieves a mature, operating state. Its early, formative phases will be focused on near-term projects, rather than long-term institutional goals: fundraising, architectural design, construction, inaugural planning and programming, and organizational development. These phases will be accompanied by changes in the size and structure of the staff, the allocation of job responsibilities, and the skills required for success. Adaptability and a personal commitment to the mission of the organization are vital qualities for an employee in this environment.
Job Summary:
The Database Coordinator (DC) is a key member of the Development team. She/he is responsible for the optimal operation and use of the Development database software, Raiser's Edge, including data entry, processing of gifts and receipts, producing mailing lists and reports, training staff, and managing the use and integrity of the Development database which is equal to 70% of the job. She/he also provides administrative support to the Director of Guilds for guild activities and events and Parties For PACE which is equal to about 30% of the job. The DC reports to the Research Coordinator and has no supervisory responsibilities. The DC is expected to work within the framework of the policies and procedures of Development and PACE.
Responsibilities:
- Coordinate the acquisition, training of staff, and installation, utilization, and maintenance of Raiser's Edge and other Development related software
- Enter and store data consistently and accurately. Establish, document, and implement procedures and codes for database use to ensure integrity of system and information. Remain current on software upgrades, enhancements, and changes. Serve as staff expert on use of Development database and staff liaison for all related vendors and arrange for or provide technical support for all users
- Responsible for records maintenance, data screening, data imports and exports, and archiving
- Process gifts, pledges, and credit card transactions; track memorial and tribute gifts; produce acknowledgement letters; maintain constituency records and mailing lists; track donor stewardship-related activities in Raiser's Edge including recognition and honor rolls; conduct queries; generate standard and Crystal reports; produce mailing lists; and update records for returned mail
- Provide administrative and information management support to Director of Guilds who is responsible for all guilds and Parties For PACE. Assist with Parties For PACE planning, preparation, and wrap-up. Support all guild events and activities including but limited to the preparation of correspondence and materials related to meetings, special projects and annual events (including auctions), and training of other staff and volunteers involved. Track and record related information in the database in a timely and accurate manner. Provide support at guild or Campaign events as requested and this may include evenings and/or weekends

Job Qualifications
- Bachelor's Degree in related field or equivalent combination of education and relevant work experience. Minimum of two years working in Development field for a 501(c)(3) nonprofit with database experience in constituent recordkeeping and reporting using Raiser's Edge, and experience providing administrative support related to guild activities or special events. Prefer experience working directly with board, donors, and volunteers
- Position requires superior computer skills with operating proficiency in a Windows-based environment, using all Microsoft Office Software, and a desire and ability to maximize the use of the applications for Blackbaud's Raiser's Edge software. Previous experience with Raiser's Edge a must; previous experience with Auction Tracker or similar auction software is preferred
- Excellent communication and customer service skills to include written, oral, and interpersonal whether in person, on the telephone, via email, or other correspondence formats
- Ability to work independently, exercise sound judgment, assess priorities, and manage multiple projects simultaneously
- Ability to succeed in a demanding and fast-paced work environment and ability to sustain a high level of performance with repetitive tasks
- Excellent organizational, time management, problem-solving, and analytic skills
- Ability to work and communicate effectively and professionally with a diverse group of people and management styles including volunteers, the public, and co-workers
